We are looking for a Sr. Executive Assistant who can provide high-level, comprehensive administrative support to our Chief Marketing Officer (CMO). 

Your Impact

As a calm, dedicated and energetic professional you will work to provide administrative support to the CMO. Working in collaboration with the other members of the Palo Alto Networks’ EA Community, you will work to solve complex administrative and operational issues before they arise.  This is a hybrid role, you must be able to come into the office in Santa Clara, especially when the CMO is spending time in the office. 

  • Understand the business and to proactively manage competing priorities for Palo Alto Networks’ CMO

  • You will strategically oversee and manage complex calendars using Google Calendar, which includes:

    • Calendar events prioritization and recommendations on schedule changes and conflict resolution 

    • Coordinate complex meetings, including setting the agenda, and ensuring the CMO is prepared

    • Communication with all stakeholders and executives after requested meetings are scheduled, changed or canceled. Set appropriate expectations when deferring meeting requests

    • Effective and efficient time management by proactively optimizing calendar, schedules on a weekly basis with marketing executives

    • Monitor key meetings for delays/changes to adjust subsequent meetings and communicate as needed 

  • Collaborate with the Office of CMO team on key programs, planning and events: team meetings, all-hands meetings, offsites, and QBRs including in-person, virtual and hybrid formats. 

  • Manage domestic and international travel arrangements including drafting detailed travel itineraries and provide remote assistance with logistics, including visa processing

  • Manage all expense reports and purchase order creation and reconciliation

  • Be a trusted collaborator on communications which will be sent from the CMO’s alias and ensure she is well represented

  • Manage team distribution lists and reporting structure changes in internal systems

  • Provide project and presentation support as needed

  • Monitor and review team purchase orders, and team expense reports, prior to manager approval (and/or act as proxy approver when needed) 

  • Assist with management of the Office of CMO budget, Responsible for ordering materials, catering, giveaways, and supplies as needed

  • Partner with the CMO in organizing events for team offsites and marketing gatherings. 

Your Experience

  • 7 plus years executive administrative assistant experience, preferably some with C-Level experience, supporting Marketing senior executives a plus

  • Ability to always maintain a high level of integrity and confidentiality

  • Proven track record of complex calendar management 

  • Experience with large event planning and travel

  • Strong verbal and written communication skills

  • Exceptional organization, prioritization, multi-tasking and time management skills

  • Ability anticipate, problem-solve and adapt under pressure in a dynamic high-growth environment

  • Positive attitude and highly professional demeanor, sense of humor helps

  • Proficiency in Google Suite applications a plus 

  • Bachelor’s degree preferred

  • Ability to come into our HQ offices as necessary
